Record a Payment and See What's Overdue

Record a Payment

  1. On a sent invoice, choose Record Payment at the top. It opens the Delivery & Payments tab, ready for the amount.
  2. Enter the date, amount, method (it starts as EFT) and a reference, then choose Record Payment.
  3. The invoice moves to Part Paid, or to Paid once its payments cover the total. Balance Owed shows what is left.
  • Payments can be recorded on the Delivery & Payments tab once an invoice is approved, even before it is sent. A draft, an invoice in review and a void invoice take none.
  • To take a payment off, choose the bin beside it. With every payment removed, the invoice goes back to Sent.
  • Card payments made through the customer portal are recorded on their own (card payments).

What Counts as Overdue

You never mark an invoice overdue: Deployr works it out each day, the same way on Invoices, on the Today dashboard and in Reports. An invoice is overdue when all of these are true:

  • It has gone to the customer: it is Sent or Part Paid, not only approved.
  • Money is still owed on it.
  • Its due date has passed. An invoice due today becomes overdue tomorrow.
  • It isn't a credit note, and isn't dated in the future.

An invoice with no due date is never overdue, unless it came across from another system already marked overdue. Then it counts from its issue date.

Where You See It

  • The head of Invoices shows what is owed and what is overdue. Choose either figure to list those invoices.
  • On the Money Line, Overdue branches off Sent. Its list puts the oldest due first, with how many days overdue each is.
  • An overdue invoice's own page reads Overdue on its status, with the days overdue beside its due date.

Invoices reads your 1,000 most recent invoices by issue date. Past that, the oldest are left out of its figures, and the page says so.
