A Cool Room Running Warm, From the Call to the Paid Invoice

Take the Call
A supermarket rings: a cool room is holding at 7°C against a 3°C setpoint. The office raises the job for the customer and site, and ticks Refrigerant Handling under Licences Needed.
Send Someone Licensed
The dispatch dialog's match score checks each technician's refrigerant handling licence is on file and in date on the day, along with leave, hours already booked, site induction and the area they cover. Book the best match, and the job opens on their phone.
Find the Fault
On site, the technician has the cool room's asset record, with its refrigerant and charge and the jobs done on it. Readings are recorded against the asset's operating limits, and one outside its limits raises a defect on the job.
Record the Gas
Gas recovered, added to the system or lost to a leak is recorded on the Refrigerant Register against the cylinder, the job and the asset. The cylinder's weight moves as gas goes in and out of it, and the register keeps each system's gas history.
Invoice and Get Paid
The customer signs on the phone. Back in the office, Create Invoice builds the draft from the job's time, parts and billable expenses, due on the customer's terms. Once it's sent, the customer can pay by card through Stripe from the customer portal, or by bank transfer.

Design Work Through Kelvin

When a job needs design work, raise a Design & Calcs request to Kelvin, our engineering suite, from the quote or the job: heat load, pipe sizing, equipment selection and more. The result comes back on the same Deployr record, and a design returned to a quote can be priced onto it, each suggested line confirmed by your estimator. The link comes with the Commercial and Projects plans; electrical and plumbing businesses never see it.

Every Movement of Gas, on the Record

The Refrigerant Register keeps each cylinder with its refrigerant, weight, location and who has it. Purchases, gas added to systems, recovery, reclaim, disposal, transfers and leaks are recorded against the job and the asset, with usage reports, each system's gas history and a PDF export on the same page.

ARCtick Licences, Checked at Dispatch

Each technician's refrigerant handling licence is kept with its class, number, expiry and a photo of the card, and flagged when it expires within 60 days. Mark a job as needing it, and the dispatch match score flags anyone whose licence isn't on file or has expired on the day.

Planned Maintenance for the Plant You Look After

On the Commercial plan, a maintenance agreement covers every asset a customer has, certain kinds such as cool rooms or chillers, or the ones you pick. Visits come round by date or by season and raise their own jobs, with the visit's tasks as the job's checklist.
