Your Plan, the Trial and Starting a Subscription

A new business starts on a 14-day trial of the Commercial plan, with no card needed. Before it ends, an admin chooses a plan in Settings → The Business → Billing and pays through Stripe. If the trial ends without a subscription, Deployr goes read-only: nothing is deleted, but nothing can be changed until a subscription starts.

The Plans

Each plan includes everything in the one before it.

  • Service: service calls, dispatch and the schedule, quotes and invoices, Xero, card payments through Stripe, the field app, forms, safety, the customer portal, the API and webhooks, and one trade pack.
  • Commercial: adds every trade pack, maintenance agreements, purchase orders, suppliers and pricebooks, inventory and van stock, the subcontractor portal, automations, the PDF template studio and Design & Calcs.
  • Projects: adds projects, variations, project templates and closeout, onboarding packs, advanced reports and priority support.

What You Pay

You pay per user, monthly or yearly, in Australian dollars with GST added by Stripe. Start Subscription shows each plan's prices before anything is charged.

  • Office users are admins, office and dispatch staff. You pay for at least two.
  • Field users are technicians, at a lower price than office users.
  • Customer and subcontractor portal logins are free.
  • Paying annually costs 10 months' price for 12 months, paid a year ahead.

Users and Cost on the Billing screen shows who is counted now and what that comes to.

Start a Subscription

  1. Open Settings → The Business → Billing and choose Start Subscription.
  2. Pick the Plan, and under How Often to Pay, Monthly or Annual.
  3. Under Onboarding, keep Self-Serve, which is free, or choose Guided setup or a Migration of your records from another system, each a one-off fee.
  4. Check the summary: the users counted now, the total before GST, and when the first charge happens.
  5. Choose Continue to Stripe and finish there. You come back to Billing, which reads the plan again. Stripe's confirmation can take a minute, so choose Check Again if the plan hasn't changed yet.

Starting a subscription during the trial doesn't cut the trial short: the first subscription charge is when it ends. Stripe may not ask for a card straight away, but one has to be saved before the trial ends or Stripe cancels the subscription. Billing warns you while none is saved; add one through Manage Billing.

Change the Plan or Card, or Cancel

Once there's a subscription, Manage Billing opens Stripe's billing portal. There you can change the plan or the payment method, see your invoices, or cancel. A cancelled plan runs to the end of the period you've paid for, and Deployr goes read-only after that.

Who the Invoices Are Addressed To

Under Invoices Are Addressed To, choose The Company to have the invoices name your company and carry its ABN, or Me Personally if you're a sole trader. Legal Name on Invoices and Billing Email override what comes from Companies; leave them blank to use the company's details. Choose Save Billing Details, and Stripe is updated within 15 minutes.

If a Payment Fails

Billing shows a payment problem, and you have a 7-day grace period to update the payment method in Manage Billing. After that, Deployr is read-only until the payment is sorted out. See When a Save Says It Isn't on Your Plan.

Only admins can see or change billing. On a monthly plan, Stripe bills on the number of users at each billing date. On an annual plan, someone added part-way through is charged straight away for the rest of the year, and someone who leaves isn't refunded before renewal.
