Change, Revise or Close a Sent Quote

Once a quote is sent, its estimate is locked, so the customer is never shown a price that moves. What you do next depends on what the customer said.
The Customer Asked for Changes
When the customer chooses Request Changes on the link, the quote moves to Changes Requested and can be edited again. Their comments are on the Approval & Audit tab. The link hides the prices while you work on it.
- Make the changes on the quote.
- Choose Resend Quote. The quote goes back to Sent, on the same link.
Anything Else: Make a Revision
A revision is a copy of the quote as a new draft, with the next revision number. The old one is kept and marked superseded, and its link tells the customer it has been replaced.
- On the quote, choose New Revision. On a phone, it's under More.
- Change the draft and send it with Send Quote. The revision has its own link, so the customer needs the new one.
Every revision is on the quote's Revisions tab with its total and stage. Superseded revisions aren't counted on the Quotes page; its Show Superseded button lists them.
Quotes That Expire
- A quote still waiting on a decision expires on its own the night after its Valid Until date. That includes drafts and quotes in review, as well as sent, viewed and changes-requested quotes. A quote with no date never expires.
- Nothing is emailed and nothing goes to Xero when a quote expires. The customer's link then says it has expired and can't be accepted.
- To close a quote sooner because the price no longer stands, choose More, then Mark Expired….
- To quote again, choose Revise Quote on the expired quote. The revision starts with a fresh 30-day Valid Until date.
The Customer Said No
If the customer declines on the link, the quote moves to Declined on its own. If they tell you by phone or email, choose More, then Mark Declined…. A declined quote counts as lost and can't be accepted. To quote again, make a new revision.
Only an admin can move a quote out of this order, from More, then Change Status…, with a reason. That sends no email and makes no job, project or invoice.
