Send an Onboarding Pack

An onboarding pack collects what a new customer, team member or subcontractor has to give you, such as their details, sites, licences, insurances and payroll, through one secure link with no login. It comes back to Onboarding for review, and approving it fills in their record.

Send a Pack

  1. Go to Onboarding and choose Send a Pack.
  2. Choose Customer, Employee or Subcontractor, then pick who it's for. For someone new, type their name; sending the pack creates their record straight away.
  3. Enter the email under Send It To. A Contact Name and a Message shown at the top of their pack are optional.
  4. For an employee, choose their award under Award and Pay. They never see it, and the pack can't be sent without one.
  5. Choose Send the Pack. Deployr emails them the link.

A new customer stays on hold, and a new subcontractor pending approval, until the pack is approved. You can also send a pack from a customer's Onboarding tab, or from a subcontractor's page with Send an Onboarding Pack.

While It's Out

The pack stands under Out With Them, showing which sections have been filled in. Their answers save as they go, so they can close the link and come back to it. A pack not opened within 7 days is counted as waiting too long. Send Again sends the email again, and Copy Link copies the link for you to send yourself.

Review and Approve

  1. When they choose Submit Pack, it moves to To Review.
  2. Choose Review to read what they sent.
  3. If something needs fixing, write it under What Needs Changing and choose Ask for Changes. Deployr emails them the link again with your note.
  4. Otherwise approve it. Their record is filled in from the pack in one save.
  • A customer becomes active, with their business, billing and contact details, and a new site for each site in the pack they don't already have.
  • A team member gets their personal details and licences, and their tax file number, super and bank details if the pack asked for them.
  • A subcontractor is approved, with their company, insurances, licences and rates.

If Xero is connected, Deployr then sends the record to Xero. After a pack is submitted, its link no longer shows their answers.

Only an admin can save a team member's payroll details, so an admin should approve employee packs.

Pack Questions sets which sections each kind of pack asks, and any questions of your own. A customer pack's declaration shows the terms of trade you've published under Legal Documents; without them, it lists a short set of standard terms.
