The Subcontractor Portal

The subcontractor portal is a work order inbox. A subcontractor who signs in sees the purchase orders you've sent their company, accepts new ones, and logs hours against the jobs they're on. They see nothing else in Deployr.
Let Them Sign In
- Open the subcontractor under Subcontractors and go to Portal Access.
- Switch on Let Them Sign In, add each person's email under Who Can Sign In, and choose Save Changes.
- An admin then chooses Send an Invite beside each email under Invites and Logins. An email you've just typed shows Save and Invite, which saves the page first. They get an email with a link to set a password, and the portal opens whenever they sign in.
Invites and Logins also shows where each person stands: no login yet, invited but not signed in yet, or when they last signed in. Send Again sends a new link to someone who hasn't signed in.
Stop Someone Signing In
Taking an email off Who Can Sign In, or switching off Let Them Sign In, stops that login opening the portal as soon as you choose Save Changes.
To remove a login altogether, an admin chooses Close Login beside it under Invites and Logins. The login is deleted and its email comes off the list. The orders they accepted and the hours they logged stay on record.
Some logins can't be closed from a subcontractor's page, and the page says why: an administrator, a login another subcontractor also uses, a login that also signs in to the customer portal, or a staff login. A person shown with a staff login was invited as a member of staff; change their Staff Role to Subcontractor Portal under Settings → The Business → People and Invites.
Send Them Work
- Open the job, go to Purchasing and choose Raise PO, or choose New PO under Purchase Orders. Choose Subcontractor Order.
- Pick the Supplier, the Subcontractor and the Job, and choose Create Draft PO. Raising the order puts the subcontractor on the job, which is what lets them log hours against it.
- Add the order's lines and choose Send Order. It shows in their portal once it's sent and isn't waiting on approval.
What They Do There
- New holds orders sent to them that are waiting for them to accept. Accepting confirms the order.
- In Hand holds accepted orders until they're done, with where the work is and, for a job they're on, its site contact and booking. An order whose job was booked for a day that has passed shows as late.
- Log Hours records a day's hours with the Worker Name and Work Carried Out. The hours come to you as submitted.
- Done and Cancelled keep finished and cancelled orders.
They see each order's lines at the prices on the order, and the job's address, site contact and their own scope. They don't see your charge-out rates, other subcontractors' work, or the notes on the order.
Approving Their Hours
Hours they log wait on the subcontractor's page, on the Work & Money tab. Approve them there, or choose Send Back. The cost comes from the rates on the subcontractor's record, never from anything they type.
Hours can only be logged on an order for a job the subcontractor is on. Put them on a job from the job's Purchasing tab, under Subcontractors, or by raising their order for it. A subcontractor typed in by name before 23 September 2026 isn't in their portal: choose Link to a Subcontractor… beside the name.
