Book a Job In and Dispatch a Technician
For admins and office staff · Updated 24 Sep 2026
A job waits in Needs a Tech until it has both a technician and a date. Booking it moves it to Scheduled, and each technician booked gets a notification in Deployr if their sign-in is linked to their technician record. It opens the job on their own screen.
From the Schedule
Open Schedule. Jobs still waiting for a technician or a date stand in Waiting down the side.
- Drag a job from Waiting onto a technician's line at the hour it should start. Drop it under Any Time to book the day without a start time.
- In the Week view, drag a job onto a technician's day. With Teams picked, a job dropped on a team goes to the member who's available with the fewest hours booked.
- Drag a job from one technician's line to another's to hand it over. Anyone else on its crew stays on it.
- Or choose the job to open its dispatch dialog, described below.
The Dispatch Dialog
- Set the Date and Start Time.
- Tick one or more technicians under Best Matched Technicians. The first one ticked leads the job; choose Set Lead to make someone else the lead.
- To book the same work again, pick how often under Repeat and how many visits under Occurrences, up to 24. Each later visit is raised as its own job.
- Choose Dispatch Job.
Each technician carries a match score. It checks leave, the hours they already have booked that day, the trade qualifications, licences and manufacturer certification the job asks for, site induction, whether the customer has approved them, equipment experience, and the area they cover. The score is a guide: you can still pick anyone.
Deployr refuses a booking that would put a technician on two sites at once, whether you drag the job or use the dialog, and names the job they're already on. It can only tell when the booking has a start time.
From the Job Page
A job that's still waiting shows Schedule as its next step. It opens the same dispatch dialog, and booking a technician moves the job to Scheduled.
To change who's on a job without booking a date, pick them from Technician in Job Details on the job page.
Moving or Unbooking a Job
Drag a booked job to another line, hour or day on the Schedule to move it. Dragging it back onto Waiting takes the technician and date off, and a scheduled job goes back to New.
A held job can be booked too, for example for the day its parts arrive. It stays held until you resume it on the job page, and then goes back to Scheduled.
A job someone is on the way to or on site at, or whose work is done, can't be moved or taken off. It goes back where it was, and a line at the top of the Schedule says why. To book another visit to a job that's under way, choose Hold for a Return Visit on the job page first, then book the visit.
Record a technician's time off with Leave at the top of the Schedule. Leave counts against them in the match score.
What a Booking Sends
Every booking, dragged, dispatched or made on the job page, adds a line to the job's Audit History. Each technician it affects gets a notification: those newly booked, those whose day or time moved, and anyone taken off. Booking a waiting job sends the customer the booking confirmation, if you use it (see How a Job Moves From New to Invoiced).
The Schedule reads your 500 most recently created jobs.
