Clock Your Time and Submit Your Week

Your hours reach the pay run, and the customer's invoice, as time entries. You clock them on the job, then hand the week in on Timesheets.
Clocking Time on a Job
- On the job, choose More, then Time and Timer.
- Choose Start the Labour Timer when you start work. Start a Break and End the Break take a break off your time.
- Choose Stop the Timer when you finish. The time is saved on the job, priced at the job's rates.
Forgot to clock on? Add Time by Hand takes the date, start, finish and breaks, then Save the Time. A finish earlier than the start counts as past midnight.
You can run one timer at a time. If one is running on another job, stop it there first.
Timers need a connection. With no signal, the times you went on the way and arrived are still recorded with each move, and you can add the time by hand once you're back online.
Submitting Your Week
- Open Timesheets. You see your own week, day by day.
- Check each day. Choose Fix on an entry to change it, Delete to take it off, or Add Time to add what's missing.
- Choose Submit Week. The office approves it for payroll.
- Submit Week waits while a timer is running. Stop it first, so its hours go in with the week.
- If the office sends entries back, they're marked rejected with a note. Fix them and submit the week again.
- Time the office entered for you shows "Entered by the office". Only the office can change it.
- You can delete only your own entries that haven't gone in yet: drafts, and entries sent back to you. Once you've submitted an entry, ask the office to delete it.
If Timesheets says your login isn't linked to a technician, ask an admin to link your sign-in to your technician record.
For the Office
Time added on Timesheets or on a job's Labour tab goes in submitted, ready to approve with the technician's week. Open a technician's row to approve or reject their week; the button at the top approves every week that's submitted with nothing missing. Approved weeks go to Xero Payroll as draft timesheets when Xero is connected.
If you entered time for someone that was never handed in, such as time clocked on your own phone, their row offers to hand it in for you.
Deleting Time
Open a technician's row and choose Delete on the entry, or Delete Entry… in the entry itself. You're asked first, and the entry comes off the week and off its job for good. Admins, office and dispatch staff can delete anyone's time.
- Time exported to payroll can't be deleted: payroll already has those hours. Correct it in payroll.
- Time on an invoice can't be deleted until the invoice is voided.
- Stop a running timer before deleting its entry.
- Deleting an approved entry takes it off the week, and Xero Payroll's draft timesheet for the week is sent again without it. If nothing approved is left in the week, take the hours off the draft timesheet in Xero yourself.
Office and dispatch staff can approve any technician's week, as admins can.
