Invite Your Team and Choose What They Can Open

Each person signs in with their own email and password. You invite them, Deployr emails them a link to set a password, and their staff role decides which screens they can open.
Invite Someone
- Open Settings → The Business → People and Invites and choose Invite Someone.
- Enter their Email.
- Under Access, choose Staff, or Admin for someone who should open everything, Settings and billing included.
- Choose Send Invite.
They stand under Invites Waiting until they sign in for the first time. The link in their email opens a page to choose a password, and the first time they open Deployr they're asked for their date of birth, their country and their consent to the privacy statement.
The link works once, within an hour. If it has run out or the email went astray, choose Send Again in their row. They can also use Forgot Password? on the Log In page with the same email.
Choose Their Staff Role
A new person starts as Office. Change it under Staff Role in their row, which is there from the moment the invite goes. The roles open:
- Admin, chosen when inviting or later from More on their row: everything, including Settings and billing.
- Office: every screen except Settings and a few admin-only pages.
- Dispatch: the day-to-day screens, from the schedule and jobs to quotes, purchasing and stock, but not Invoices, Reports, Team or Settings.
- Technician: My Day, Van Stock, Jobs, Assets, Sites, Inventory, Timesheets and Safety, plus Design & Calcs where a trade pack has it. A technician opens Deployr on My Day.
- Customer Portal and Subcontractor Portal: their own portal only, never the office screens. Someone whose email is already a customer's portal contact, or on a subcontractor's record, is linked to it automatically when invited.
Office and dispatch staff work on each other's records: every quote, purchase order, timesheet, customer and job, whoever raised it, and office staff every invoice too. A technician sees their own time and the quotes and orders they raised themselves, and updates assets, stock and safety records whoever added them.
Link Technicians to Their Records
For a technician, pick their technician record under Technician in their row. That's how My Day knows whose work to show them; a technician login with no link has nothing on it. If the record isn't there yet, add it under Settings → The Business → Technicians first.
Settings → The Business → Permissions also sets Financial Visibility, which hides money on the Today page only. Every change to someone's access is written to the audit trail.
Make Someone an Admin
Open More on their row under People and Invites and choose Make Admin…, or Remove Admin Access… to take it away. Deployr asks first and says what it does to your bill: an admin counts as an office user, so a technician made an admin moves from a field user to an office user. A business always keeps at least one active admin, so the only one can't have it taken away, and a customer or subcontractor portal login can't be made an admin. You can't change your own access; another admin can.
When Someone Is Away or Leaves
Open More on their row under People and Invites. Suspend Login signs them out everywhere and stops them signing in until you choose Reactivate Login. Nothing of theirs is deleted, and a suspended login doesn't count on your subscription. Remove Login deletes their login and personal details for good. Their jobs, time and quotes stay with the business, and the audit trail keeps their name. For someone who never accepted their invite, the same step is Cancel Invite. Suspending and removing are written to the audit trail.
A phone that's out of signal keeps what it last loaded until it reconnects, and never more than 7 days. You can't suspend or remove your own login here: to leave, use Delete My Account in your account menu. The only active admin can't be suspended or removed.
What It Costs
Admins, office and dispatch staff count as office users on your subscription, and technicians as field users. Customer and subcontractor portal logins are free. An invite counts from the moment it's sent, and a new person starts as Office, so set a technician's role to Technician straight away. See Your Plan, the Trial and Starting a Subscription.
Only admins can invite people or change their access. An email address can belong to one Deployr business only, so someone already using Deployr with another business can't be invited with the same email.
Branch Access under Permissions doesn't limit what someone sees yet.
